Welcome to the Georg-August-Universität Göttingen! As a new employee, you can get here first information on all issues which faciliate the organisation of your work and stay in Göttingen. During the first weeks, you may have a lot of questions; this site will hopefully provide you with a lot of answers.
Please note that our Employee Portal (MaP) on the internet offers access only to employees. Once officially at work, you will receive access.

How can I get employee´s contact data?
The Georg-August-Universität employs more than 12.000 co-workers. Via the search button ("Suchen") of the internal university register (UniVZ) you can track the contact data of other co-workers. These data can only be accessed by employees of the university. Second, the address book of OUTLOOK (email) include the contact data of those who are employed.
The Employee Portal (MaP) of the university is a comprehensive tool: At the "Formular Center" you can find forms for many purposes, which mostly can be processed digitally (Workflowcenter Lucom). At
the "Info Center" you can receive more interesting information of all kind: It´s worth a look!
Employees of the University of Göttingen receive a personal University ID card. This document is issued by the Infrastructure Facility Management:
Please ask for an appointment in order to avoid waiting time. A photograph of yours will be made on the spot.
The ID card is a vehicle for both, the time recording within buildings at university (if you are obliged to have your work hours registered automatically) and the cashless payments at canteens.
Additional functions as access- and parking entitlements can be applied for at the Infrastructure Facility Management by using forms from the "Formular Center".

The following information may support your orientation on the campus.
Spatial information system (GRAS_Geo)The university provides a site map with information about barriere liberty. You can find out the location and accessibility of single rooms via GRAS-Geo, the Campus Accessibility Map of Georg-August-University.
The University can provide parking spaces for employees and guests only in a very limited number. We recommend to apply for a parking entitlement. An entitlement mark for a parking space will be stored on your University ID Card.

Employees at the University of Göttingen can apply for a discounted jobticket of the Verkehrsbund Süd-Niedersachsen. There is no limit to the number of the transports and the jobticket can be used beyond work hours.

The Studentenwerk Göttingen runs canteens and cafeterias at different locations and provides a variety of meals for students and employees.

The Göttingen State and University Library (SUB), since its foundation in 1734, has built up an impressive national and international stock and focuses all energy to keep it well-maintained and extend it. The importance of SUB Göttingen for study, teaching and research has been deepened by its status as a national library.

What to do in case of failures, emergencies and similar problems?
First of all: the worst case! Should you remark FIRE , please call immediately the general Emergency Number "112" and take care of your own safety!
If possible, please give notice to the University´s Centralised Failure and Alarms Management; please find contact information below.
In general: The caretaker service of your institute or facility is always the first contact for recording and making repair work of any kind.
You can find the relevant telephone number in the entrance of your institution, at the secretary´s office or digitally in the UniVZ.
In case of unavailability and need for action (for ex. water pipe breakage), please contact directly the Telephone Service of the Centralised Failure and Alarms Management.
The Centralised Failure and Alarms Management can be reached around the clock at 39-20000.

Private Key Insurance
In cases of loss of a key, the user is liable and responsible to pay for the replacement of a key. This may be costfull if a whole locking system has to be replaced. Our recommendation for employees using several university keys is to take out a service-key liability insurance.
Handling of University-Owned Devices
University-owned equipment and devices shall not be removed from the work place nor be left to a third person. Exceptions and specifications are being checked case-by-case and set out in your contract (as fox ex., for business mobile phones).
Delivery of devices and furniture for private purposes
Devices that are no longer in use at university can be given to co-workers for a consideration less than the costs. A list of the currently available devices is to be found here.
Am I allowed to telephone, make copies and post letters for private purposes?
Private Phone Calls
Private phone calls from your office are subject to charges. There is the option to buy credit cards, by which you could account for your private phone calls.

To make photocopies for private purposes is subject to charges. The invoicing modalities are being handled diffently throughout the institutes.
If you would like to make copies for private purposes, please ask in your departments for advise.
Private Mailings
Private letters shall not be processed via the university mailroom. University postboxes and delivery services are limited to official mail.
Ban on pets
Please note, that you are not allowed to bring pets to your workplace due to reasons of liablity and considerateness.

What do you have to be aware of with regard to safety at work and environment protection?
The employers duty of care imposes the implementation of protection measures. Part of the employer is to create work stations where employees do not suffer damage to their health or property (§ 618 BGB).
Employees are asked to act with wisdom and care when performing their work on the premisses of University Göttingen.
The terms and conditions concerning worksafety and environment protection are binding and shall be observed. Corresponding instructions of leaders have to be observed and required.
Do you find a defect of any kind, please eliminate the defect or give notice to your superior.
Please observe the rules on the spot for collecting and the dispose of waste according to the principles of sustainability. This often means to separate paper waste from biological waste, glassware, and other waste. Special wastes are subject for communications to the Safety/Environmental Section.

Tasks in the realm of work safety and health protection are important to the University Göttingen as employer.
To minimize burdens that can emerge at screen work stations the ergonomical shaping of workstations is important, as well as the correct posture and the support of the eyes.

TarifvertragSince 01.11.2006 the University Göttingen employs co-workers in science and administration on the basis of "TV-L" (the Collective Bargaining Agreement) for the public service of the States
of the Federal Republic of Germany.
It determines wages and other benefits as well as vacation- and work hours. Your employment contract can be complemented by other regulations from all realms in accordance to your field of work or stage of life.
Special arrangements for employees at universities or extra universitarian research institutes are the subject of § 40 TV-L; regulations provide more flexibility than in other parts of the public sector.
For apprentices/trainees the Collective Bargaining Agreement (of the States of the Federal Republic of Germany) is valid according to voccational training act (TVA-L-BBiG).
The HR deptartment provides further information on the mentioned agreements; or search for contact persons at the Employee Portal (MaP) Mitarbeiterportal.
Employees work 39,8 hours per week (= 39 hours and 48 minutes) under the Collective Bargaining Agreement;
civil servants work 40 hours per week. Undergraduate and graduate assistants can work up to 86 hours per month according to employment agreement.
Navigation point "service/work agreements" gives way to those documents where you can find the one which is valid for you.
Administrative staff has to take part in the electronic time recording. Exceptions can be made according to individual, exceptional conditions.
To take part in the electronic time recording,
employees get access to the Employee Portal SAP-ESS (ESS-Portal), which allows both insight into the personal time recording and correction of singular data.
Scientific co-workers work according to the scheme of trust-based working hours.

Please report your inability to work to your superior within the first day of your absence. The notice can be made via phone call or e-mail.
Does the inability to work extends three calendar days, a notification of illness by a doctor has to reach the employer on the succeeding day. Re-newed notifications have to be passed promptly.
Example:
If you call in sick on a friday and plan to get back to work on Tuesday, please present a notification of illness by a doctor, since saturday and sunday are calendar days.

Regulations concering vacation as well as options for the claim for time off work are fixed within both, your contract and the generell Collective Bargaining Agreement (TV-L).

At University Göttingen there are varied realms requiring business trips. Business trips always need to be approved by a superior.
Information on the approval process, guidelines, travel expense application and -accounting can be found on the Employee Portal (MaP) or in relevant department of your institute or the University´s HR department.
German Rail (DB) provides a discount for employees of the University of Göttingen which may concern your transport to and from work and business trips. Discounts can also be reached with regard to the acquisition of "Bahn Cards".

Taking up a secondary activity is possible, in principle, it has to be discussed with the superior in advance and notified
to the University´s HR department well in advance.
It is essential, that a secondary activity cannot interfere with your original employment obligations.
Please seek the discussion with your superior.

ControllingHandling of a budget requires a high sense of responsibility and care of all involved persons.
Budget processing service units and institutes shall act according to the principles of economic efficiency and sustainability. Therefore, the observation of finance regulations and budget relevant process guidelines
is mandatory!

The University Göttingen appreciates and supports the raising of third party funds for research and development projects.
The guideline on third party funding outlines principles for the act of raising, the mandatory involvement of different departments; and for unforseen events, as for example procedures in case the fund holder leaves before the project ends.

The University Göttingen, in the framework of its statuary tasks, is responsible for the organisation of research, teaching and the promotion of early career.
These elements are inseparably linked when it comes to estimating the success of the university. Therefore, it is important to create an athmosphere of openness, creativity and motivation.
Scientific activities, which are carried through and discussed in work groups, are an important element to avoid misconduct in many aspects.
According to its responsibility, the university has determined precautions in order to counteract misconduct of scientists.
The University will follow up every suspicion of scientific misconduct. Should a clarification process result in a confirmation of scientific misconduct, measures will be taken according to the case.
